Good question! For starters, the annual cost of a full-time experienced senior operations manager now exceeds £84,000, plus benefits (and good luck finding one available). Aside from that, you may not always have enough work to keep them busy at all times, so you're stuck paying for time you aren't able to utilise.
As your business grows, you will need a team of operations specialists scaling at the same pace as your business does.
With the monthly plan, you can pause and resume your subscription as often as you need to ensure you're only paying your automations team when you have work available for them.
Once subscribed, you're able to add as many process automation requests to your queue as you'd like, and they will be delivered one by one.
On average, most requests are completed in just 10 days or less (or 5 days on the Pro plan). This is for processes which contain 1-5 steps.
More complex requests can take longer.
A step is classed as a trigger or an action.
They can involve anything from getting data from somewhere (e.g. watching for a form submission, a CRM entry, a contract being signed), to taking an action (e.g. sending an email, starting a customer workflow, creating an invoice), or moving data to another software (e.g. creating a new entry in Google Sheets/Airtable, updating your CRM, adding a new booking to your backend system).

We understand you may not have enough automations work to fill up an entire month. Perhaps you only have one or two processes you want to automate at the moment. That's where pausing your subscription comes in handy.
Billing cycles are based on 31 day periods. Let's say you sign up and use the service for 21 days, and then decide to pause your subscription. This means that the billing cycle will be paused and you'll have 10 days of service remaining to be used anytime in the future.
Most processes are automated using Make.com as they have over 1700+ (and growing) apps connected.
We also use Zapier and custom solutions where necessary.
Maximise AI offers a ton of flexibility in how you request process automations using Trello. Some common ways clients request automations is directly via Trello, sharing Google docs or spreadsheets, or even recording a brief Loom video (for those who prefer not to write their requirements out). Basically, if it can be linked to or shared in Trello, it's good to go.
The only thing we ask, is that you are clear in communicating 3 things:
1. A description of the overall process and what it is used for
2. All of the steps involved in the current process (and any changes you'd like to make to the process)
3. Login details for all of the systems involved in the process (or join a call with us when we are setting up the automation so that you can authorise the automation tool to access your systems)
Step 1: Once you have submitted your request, our automations team will review it to ensure all the required details are present. If not, we will ask you any clarifying questions needed to proceed. Once all is clear, we move on to step 2.
Step 2: The automations team come up with the plan for automating your process and will prepare a short process document for your review. This will cover the process' steps, the connections needed and the testing that will be required.
Step 3: Once you have approved the process, our automations team build it out as per the process document.
Step 4: We work with you to test the automated process. If any changes are needed, we make them for your review & approval. Once you sign the process off, it's officially good to go!
No worries! We'll continue to revise the automated process until you're 100% satisfied.
We only accept processes up to 20 steps long, anything above that must be split into multiple shorter processes.
This ensures that we can deliver more value to you on a regular basis, and you can start benefitting from the automations as soon as possible!
In the case that it is not possible to automate a process in its current form (e.g. the software doesn't have an app in Make.com/Zapier or it doesn't have an app/API with the necessary capabilities to complete the required actions), then we will suggest modifications to the process which will allow it to be automated. These suggestions may include alternative/additional/fewer steps and/or softwares.
In the rare case that a process can't be automated (due to complexity, software limitations, or specific requirements, etc.), then we will advise you of same and will move on to the next process in your queue.
That's fine. You can pause your subscription when finished and return when you have additional process automation needs. There's no need to let the remainder of your subscription go to waste.
Depending on which plan you select, we cover up to £100 (Standard plan) / £200 (Pro plan) of automation tool(s) and various software costs each month. This applies to tools set up and controlled by us for use within your automations. This is more than enough for >99% of clients. In the case where you exceed this amount in a given month, you will be billed by us for the excess usage above the amount included in your plan.
Please note that we only cover these costs while you are a fully current (i.e. still paying your monthly membership on time and have days remaining on your paid up month), active member. If you pause your membership or your contract is terminated by either yourself or Maximise AI, you then become solely responsible for all costs associated with running your automations (with £0 covered by Maximise AI).
If you cancel your membership, you will receive a refund for the unused days remaining on your plan.
For example, if you cancel after using 24 days on the monthly plan, you will receive a refund for the remaining 6 days you did not use (i.e. you will receive a 20% refund for that month). No refunds are given for days already used.
